When you use Echo Me Letter, we collect only what's necessary to provide the service. This includes:

  • Account information: your name and email address when you place an order.
  • Letter content: the text of your letter, recipient details, and your chosen delivery date.
  • Payment information: billing details entered at checkout. We do not store card numbers — payments are processed securely and we retain only order confirmation data.
  • Communications: any emails or messages you send us, including Legacy Box briefs and support enquiries.
  • Usage data: basic analytics such as pages visited and time on site, collected anonymously.

We do not collect data about you beyond what you directly provide or what is generated by your use of our service.

02 How We Use It

Your information is used solely to operate and improve Echo Me Letter:

  • To store, protect, and deliver your letters on the date you chose.
  • To send you order confirmation and delivery notification emails.
  • To respond to your support requests and Legacy Box enquiries.
  • To improve our website and service based on aggregated, anonymised usage patterns.

We will never sell your data. We will never use your letter content for marketing, AI training, or any purpose other than delivering it.

03 Storage & Security

Your data is stored securely using Supabase, a GDPR-compliant cloud database provider. Letter content is encrypted at rest. Access is restricted to authorised personnel only.

We retain your letter and order data from the date of purchase until 12 months after the scheduled delivery date, after which it is permanently deleted. You may request earlier deletion by contacting us.

We use the following third-party services to operate: Supabase (data storage), EmailJS (transactional email), and Web3Forms (enquiry routing). Each is bound by their own privacy policies and applicable data protection laws.
04 Your Rights

You have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate information, including your delivery address before your letter ships.
  • Delete your data, subject to any legal obligations we have to retain order records.
  • Withdraw consent at any time for any optional communications.
  • Data portability — receive a copy of your data in a structured format.

05 Cookies

We use only essential cookies required for the website to function correctly (session management, security). We do not use advertising cookies or third-party tracking pixels.

01 Acceptance of Terms

By using Echo Me Letter — including placing an order, submitting a Legacy Box request, or browsing this website — you agree to these Terms of Service. If you do not agree, please do not use our service.

These terms apply to all users, including visitors, registered customers, and Legacy Box clients.

02 The Service

Echo Me Letter is a time-capsule letter service. We receive letters from customers, store them securely, and deliver them on a future date specified at the time of order. We offer three formats:

  • Digital letters — delivered by email on the chosen date.
  • Physical letters — printed, sealed, and mailed on the chosen date.
  • Legacy Box — a bespoke, fully custom keepsake letter package, priced individually.

We reserve the right to modify or discontinue the service with reasonable notice. In the event of discontinuation, all outstanding letters will be delivered immediately or customers will receive a full refund.

03 Payment & Refunds

Payment is due at the time of order. All prices are listed in USD. We accept major credit and debit cards.

Refund policy:

  • Full refund if cancelled within 48 hours of purchase.
  • Partial refund (50%) for cancellations between 48 hours and 14 days before the scheduled delivery date.
  • No refund for cancellations within 7 days of delivery.
  • Legacy Box deposits are non-refundable once the drafting process has begun.
If your letter is not delivered on the scheduled date due to an error on our part, you are entitled to a full refund regardless of when you request it.
04 User Responsibilities

By using Echo Me Letter, you agree not to submit content that:

  • Is unlawful, threatening, abusive, or harassing to the recipient.
  • Infringes on the intellectual property rights of any third party.
  • Contains malware, spam, or unsolicited commercial content.
  • Violates the privacy of any individual without their consent.

We reserve the right to refuse or cancel any order that we reasonably believe violates these guidelines. In such cases, a full refund will be issued.

05 Intellectual Property

You retain full ownership of any content you submit — your letter belongs to you. By submitting it, you grant Echo Me Letter a limited, non-exclusive licence to store and transmit it solely for the purpose of delivering it as requested.

All other content on this website — including design, copy, branding, and the Echo Me Letter name — is the property of Echo Me Letter and may not be reproduced without written permission.

06 Limitation of Liability

Echo Me Letter's liability is limited to the amount paid for the order in question. We are not liable for:

  • Indirect, consequential, or emotional damages arising from a late or undelivered letter.
  • Loss of letter content due to circumstances beyond our control (force majeure, third-party provider failure).
  • Delivery failure caused by incorrect address information provided by the customer.

In all cases of delivery failure due to our error, we will work in good faith to remedy the situation — including re-delivery, a replacement, or a full refund.

07 Governing Law

These Terms are governed by the laws of the State of Oregon, United States. Any disputes arising from the use of our service will be resolved through good-faith negotiation first. If unresolved, disputes shall be subject to the jurisdiction of the courts of Multnomah County, Oregon.
